Hosting Visiting Researchers/Interns

At SRC, we aim to ensure that all visitors have a positive experience and leave as good ambassadors of our centre. As a host, you are responsible for creating the conditions for a successful visit – this includes being available, offering a warm welcome, and providing support throughout their stay.

Before hosting a visitor, check with the closest manager that it’s OK to accept the proposed visitor/intern/student. Make sure to highlight the substantial added value both for the individual researcher hosting the visitor and for SRC’s overall research activities, when asking the manager to accept the visit.

At the beginning and end of a visit, the host—encouraged by HR—will send a welcome letter and a farewell letter. These letters outline key aspects of publishing with SRC affiliation. Read more here.

If the visit is accepted, please follow the below steps:

  • At least 2 weeks before arrival of the visitor this check list needs to be filled in digitally and sent to src-hr@su.se (AND to src-education@su.se if the visitor has "student" status).
  • Upon arrival, the host meets the visitor and provides an introduction to SRC, including facilities, printers (if applicable), emergency exits, evacuation plan, first aid kit, and defibrillator.
  • The host also explains the importance of verifying who any other visitor is meeting before granting them access to the SRC premises.
  • Check in with visitor after 3-5 days about keycard, access to printers, receiving emails via src-all and accommodation status.
  • Collect keycard from visitor at the end of stay and hand over to HR/admin

Requests from researchers/PhD students for visits lasting more than one month:

  • Provide the manager a clearly defined plan outlining the expected outcomes of the visit.

WIFI for visitors

Student vs intern: If the purpose of the visit is to receive supervision for a bachelor or master thesis, then the visitor is a "student" at the SRC. If they come for work experience, they are an "intern" (only internships as part of an on-going education/programme are allowed or recent-graduate-scholarships). A visit with an Erasmus praktik/traineeship scholarship still gives "student" status if they are here to work on their thesis. For more information on responsibilities and different kinds of exchange students and internships, please read this document.
